IMPORTANT NEWS – TXDOT PROCEDURAL CHANGES AFFECTING RENEWALS AND CANCELLATIONS

TXDOT will no longer allow a 10 day grace period for extension of filings – this means that all Form E filings will revoke on their date of cancellation or the policy expiration date in accordance with the filing of the Form K on renewals and cancellations. 

In order to comply with the above changes we must proceed as follows:

 1)         Renewal Business – Filings are terminated on the expiration date of the policy. Therefore, a new filing must be sent to TXDOT, prior to the expiration date of the policy to avoid revocation of the filing.  This means that we must have all requests to bind coverage on renewals at least one day before the expiration date of the policy.  This also means that Thursday will be the last day of each week to request renewals on policies expiring on Fridays through Mondays. We apologize for this inconvenience to your clients. However, we WILL be able to renew your policies if the request is received within our time guidelines, but if the request does not arrive at our office before the expiration date, your insured will be operating without authority until the insured can file another Form E and submit another fee to TXDOT.   

 2)       Transfer of business from one company to another. Same procedures will apply. We must be notified prior to the expiration date of the policy.

 3)       Notice of cancellation for any reason, reinstatement arrangements must be done prior to the effective date of cancellation.  This means that we must have all requests to reinstate coverage on policies pending cancellation at least one day before the cancellation effective date of the policy.  This also means that Thursday will be the last day of each week to request reinstatements on policies canceling on Fridays through Mondays.

 If a filing is revoked, the Motor Carrier will have to reapply by submitting the following:

 New Application w/$100.00 Filing Fee

Equipment Report w/$10 for each vehicle registered

We will be adjusting our procedures to provide the service needed to comply with these changes. However, we do ask that you help us by giving us enough time to issue the required filings.
